Accounting workflow
Tax Document Automation
Most tax-season time goes into getting documents, not preparing returns: requesting W-2s and 1099s, chasing the ones that haven't arrived, and keying numbers from PDFs and photos into the tax software. Tax document automation handles the collecting, recognizing, extracting, and chasing, and hands your preparers checked data. It is one workflow inside our broader work on AI for accounting firms.
Examples, not client case studies
What this can look like
These are illustrative examples, not promises of results. Every project starts with your own workflow.
Tax Document Automation
Before
Documents are requested by email, arrive in any format, and are tracked in a spreadsheet. A preparer starts a return, then discovers a 1099 is missing and emails the client for it.
After
Each client has a checklist built from last year's return. Forms are recognized on upload, key boxes are extracted with confidence scores, and the preparer sees complete or incomplete before starting. Missing items are chased automatically on your schedule.
Extracting W-2 and 1099 data
Before
Preparers read each W-2, 1099, or K-1 and type the boxes into the tax software, checking totals by eye.
After
Form type and tax year are recognized, box values extracted with confidence scores, and compared with the prior year. Low-confidence boxes and big year-over-year changes are flagged; the preparer verifies and continues.
Approach
How it works
- 01
Map your season
How documents are requested, tracked, and entered today, and where returns stall.
- 02
Design the checklist logic
Which documents each client type needs, when reminders go out, and who is alerted when a client goes quiet.
- 03
Build and test
Collection, recognition, extraction, and status, tested on last season's real documents before the next one starts.
- 04
Run through the season
Exceptions go to preparers with the source shown, and we adjust as real volume arrives.
What we need from you
- Your document checklists by client type
- Sample documents from a past season, with client details removed or shared under your control
- Which tax and practice software you use
- Your reminder cadence and escalation rules
Collection
How to automate tax document collection
Each client gets one secure link showing what is outstanding, built from their entity type, last year's return, and the services you provide. Reminders go out on a schedule you set and stop the moment the document arrives. When a client goes quiet close to a deadline, a person is alerted instead of the system nagging indefinitely.
Status is visible per client to the whole team, which removes both the spreadsheet and the 'where is my return?' emails.
Extraction
AI tax document processing: what gets read
W-2 and 1099 forms
Form type, year, payer, and box values recognized and extracted with confidence scores.
K-1 and 1098 forms
Key figures extracted and flagged where they differ from the prior year.
Organizer answers and supporting documents
Uploads matched to the checklist item they satisfy, and unreadable ones returned for resubmission.
Client emails
Routine document-related messages sorted and drafted for review; anything about tax positions goes straight to a person.
Handoff
Getting data into your tax software
Whether extracted data can flow straight into your tax preparation software depends on that product's import options. We confirm the method for your exact software in the design phase. Where direct import isn't available, the fallback is a structured worksheet the preparer checks against the source, which still removes the reading and typing.
Boundaries
What stays with your preparers
- Every tax position, election, and judgement call
- Verification of extracted figures before they're used
- Signing and filing the return
- Handling taxpayer data under your own security and confidentiality obligations
Where this shows up
Signs this is your problem
- Returns stall for weeks on one missing document nobody remembered to chase
- Preparers spend hours keying numbers from PDFs and phone photos
- A spreadsheet is the only record of who has sent what
- Clients ask for status because nothing shows it in one place
Scope and cost
What influences the price
Two workflows that sound the same can differ a lot in effort, so we don't quote from a menu. These are the things that move the number. You get a written price and timeline after the free assessment.
- Number of clients and how varied their document sets are
- Which forms need extraction, and how many are scans or photos
- How your tax software accepts data
- How much status tracking and client communication you want automated

FAQ
Tax Document Automation: common questions
Can you automate tax document collection?
Yes. Per-client checklists, secure upload links, automatic reminders that stop when the document arrives, and a status view for the team. Collecting and chasing is the most automatable part of tax season.
Will AI prepare the tax return?
No. AI reads and extracts, rules check, and your preparers make every tax decision and sign every return.
How accurate is W-2 and 1099 extraction?
Good on clean forms and weaker on poor scans, so every box carries a confidence score and low-confidence values, or ones that differ sharply from last year, are flagged for a person. We test on your real documents first.
Does this work with our tax software?
We confirm the import method for your specific software in the design phase and say so if direct import isn't possible. There is usually still a way to remove the reading and typing.
How is this different from your tax preparers page?
That page covers the whole tax practice, including organizers, engagement letters, and e-file status. This page is the document workflow itself, and it applies to any firm that collects tax documents.
