Solution

AI Document Processing and Intelligent Document Processing (IDP) Services

Every document someone opens, reads, and retypes by hand is an hour you paid for twice. We pull the data straight out of your invoices, packing slips, applications, and contracts, check it against your own records, and eliminate the manual entry and the errors that come with it. This is intelligent document processing (IDP) and automated document processing built as a custom workflow around your systems, with a person still reviewing the ones that need it.

Examples, not client case studies

What this can look like

These are illustrative examples, not promises of results. Every project starts with your own workflow.

AI Document Processing and Intelligent Document Processing (IDP) Services

Before

Someone opens each PDF or scan, finds the fields that matter, types them into the business system by hand, and double-checks the totals before filing it.

After

Incoming documents are read automatically. Key fields are pulled out and checked against known values, and clean records land right in the business system. A person only looks at the ones that fail the check.

Certificate of insurance intake

Before

Subcontractor COIs arrive by email as PDFs. Someone opens each one, checks coverage types, limits, and expiry dates against your requirements, and logs it in a spreadsheet with a reminder to chase renewals.

After

COIs are read on arrival. Limits and dates are checked against your requirements, compliant ones are filed against the vendor record, and anything short or expiring lands in a queue with the gap highlighted.

Approach

How it works

  1. 01

    Sample and scope

We collect real documents, including the ugly ones, and list the document types, fields, and systems in scope.

  2. 02

    Design checks and thresholds

For each field we decide what it is validated against, what confidence is good enough, and when a person reviews.

  3. 03

    Build and connect

The pipeline is built and connected to the channel documents arrive through and the system the records land in.

  4. 04

Test on real documents, then tune

We test on your real samples before go-live, then tune thresholds and rules as live volume shows the edge cases.

What we need from you

  • A sample of real documents, including the ugly ones: bad scans, odd layouts, handwriting
  • The rules a person applies today when they check a document, even the unwritten ones
  • Access to the system the clean records should land in, scoped to what the project needs
  • Someone to work the exception queue during rollout so the thresholds can be tuned

Rules vs AI

What the model does, what the rules do, and what a person does

AI: reading the document

Finding the fields that matter in a PDF, scan, or photo regardless of layout. Every extracted field carries a confidence score, so the system knows what it isn't sure about.

Rules: validating the data

Totals add up, dates are valid, the vendor exists, the PO number matches an open order. These are explicit checks against your own records, not model guesses.

Rules: routing and filing

Where a clean record goes, who is notified, and how the original document is stored and linked are decided by rules you can read and change.

People: exceptions and low confidence

Anything that fails a rule or falls below the confidence threshold is shown to a person side by side with the source document, with the questionable fields highlighted.

Intelligent document processing

What intelligent document processing means here

Intelligent document processing, or IDP, is the industry term for what this page describes: capturing documents from wherever they arrive, reading them regardless of layout, extracting the fields that matter, validating those fields against your own data, and routing the result into your systems with exceptions going to a person. Vendors sell IDP as a platform. We build it as a workflow around the systems you already run, sized to your document types and volume.

The difference that matters is not the label. It is whether every extracted field carries a confidence score, whether validation runs against your records rather than the model's opinion, and whether a person can see and correct anything the system was unsure about. Those three things are what make document automation safe to run on invoices, contracts, and compliance documents.

The pipeline

How AI document processing works, stage by stage

Whatever the document, the same seven stages apply. What changes is the rules and the destination.

1. Capture

Documents are pulled from email, uploads, scanner folders, or portals without changing how senders deliver them.

2. Classification

Each file is recognized by type, such as invoice, PO, certificate, or contract, and sent down the right path.

3. Extraction

OCR reads the page and a language model finds the fields that matter, whatever the layout, with a confidence score per field.

4. Validation

Extracted values are checked against explicit rules and your own records: totals, dates, vendors, open orders.

5. Human-in-the-loop review

Low-confidence or failed fields go to a person side by side with the source, who corrects and approves.

6. Exception handling

Anything unrecognized or unresolved waits in a queue with the reason attached. Nothing is dropped or guessed.

7. Routing and sync

Clean records post to your ERP, accounting, CRM, or internal system, and the original is filed and linked.

IDP vs OCR

Intelligent document processing vs traditional OCR

Traditional OCR compared with template-based capture and OCR plus LLM extraction
ApproachWhat it doesWhere it strugglesWhere it fits
Traditional OCRTurns an image into text charactersDoesn't know which text is the invoice total or the vendorA first step inside a pipeline, never the whole thing
Template-based captureReads fields from fixed positions on known layoutsBreaks on a new supplier layout, a rotated scan, or a moved fieldA small, unchanging set of forms
OCR plus LLM extraction with validationFinds fields by meaning, whatever the layout, then checks them against your dataPoor scans and handwriting produce more exceptions at firstMixed layouts, many senders, and documents that change. This is what we build.

Build vs buy

Off-the-shelf IDP vs custom implementation

Neither is always right. The honest comparison is by situation.

Off-the-shelf IDP platforms compared with custom document processing
ApproachWorks well whenFalls short whenWhere we'd point you
Off-the-shelf IDP platformYou process one common document type in high volume and the product's standard flow matches yoursYour rules, systems, or document mix are specific, or the license and setup cost more than the work it replacesWorth pricing first. If a platform covers the job, buy it.
Built-in capture in your accounting or ERP softwareThe documents and the destination are the same productThe workflow crosses systems or needs your own validationSwitch it on before building anything
Custom document workflowSeveral document types, your own validation rules, and more than one destination systemVolume is too low to repay the buildWhat we build, after an assessment shows it's worth it

Example document workflows

Document workflows we build

Vendor invoice to ERP

Invoices read on arrival, matched to the vendor and PO, coded by your rules, and queued for approval with only exceptions reviewed.

Purchase order from email

POs captured from PDFs and email bodies, checked against price and stock, and posted as sales orders.

Certificate of insurance tracking

COIs read for coverage types, limits, and expiry, compared to your requirements, and renewals chased before they lapse.

Signed agreements to key dates

Contracts and engagement letters read for parties, terms, and renewal dates, which are written to the system that needs them.

Use cases

Industries and use cases

  • Accounting and bookkeeping: statements, bills, receipts, and tax forms
  • Distribution and wholesale: purchase orders, packing slips, and supplier invoices
  • Logistics: bills of lading, proofs of delivery, and carrier invoices
  • Construction: certificates of insurance, lien waivers, and certified payroll support documents
  • Property management: leases, vendor invoices, and inspection reports
  • Professional services: intake forms, engagement letters, and client-supplied records

Security and privacy

Security considerations for document processing

  • Least access: we connect only to the inboxes, folders, and systems the project needs
  • Documents are stored where you choose and linked to the record, not copied into a tool you don't control
  • Your documents are never used to train outside models
  • Every automated action is logged with what changed, when, and why
  • Personal or regulated information follows your own safeguards; your counsel decides which apply, and we build so they are easy to show

Document types

Documents this usually covers

  • Invoices, credit notes, and statements
  • Purchase orders and order confirmations
  • Packing slips, bills of lading, and proofs of delivery
  • Certificates of insurance, W-9s, and other vendor compliance documents
  • Applications and intake forms
  • Contracts, engagement letters, and signed agreements
  • Timesheets and job tickets
  • Remittance advices and payment confirmations

Integration requirements

Inputs, outputs, and where the documents live

Documents usually arrive as email attachments, in a shared inbox, through an upload, from a scanner folder, or downloaded from a portal. We connect to the channel you already use rather than asking suppliers or clients to change how they send things.

Outputs are structured records in the system that should hold them: your ERP, accounting software, CRM, practice management system, or an internal tool. The original document is stored where you choose and linked to the record, so a person can always open the source. The review queue lives wherever your team already works.

Accuracy and limits

What we promise, and what we don't

No extraction system is perfect, and we won't tell you this one is. What we can build is a system where the imperfect cases are visible: every field carries a confidence score, anything below threshold is reviewed by a person, and every write to your system is logged. Handwriting, poor scans, and brand-new layouts produce more exceptions at first. The thresholds and rules are tuned on your real documents during rollout, not on a demo set.

Before go-live we test against a sample of your real documents, including the difficult ones, and show you what landed in the exception queue and why. You decide where the threshold sits between speed and review.

Where this shows up

Signs this is your problem

  • Invoices, packing slips, or POs that arrive by email or fax and get re-typed into your system by hand
  • Contracts, COIs, or applications where someone manually pulls out the two or three fields that matter
  • A shared inbox where documents pile up faster than someone can file them
  • The same document getting checked twice because no one trusts the first pass
  • Renewal and expiry dates tracked in a spreadsheet instead of the system that needs them
  • Month-end delays because the documents arrived on time but the data entry didn't

Scope and cost

What influences the price

Two workflows that sound the same can differ a lot in effort, so we don't quote from a menu. These are the things that move the number. You get a written price and timeline after the free assessment.

  • How many document types and layouts are in scope
  • Volume: how many documents a day, week, or month
  • How structured the documents are: clean PDFs versus scans, photos, and handwriting
  • How many fields need to be extracted and how many validation rules apply
  • Which system the clean records post to, and whether it has an API
  • How much of the exception review your team wants to keep versus reduce over time

FAQ

AI Document Processing and Intelligent Document Processing (IDP) Services: common questions

What is intelligent document processing (IDP)?

IDP is the process of capturing documents, classifying them, extracting the fields that matter, validating those fields, and routing the result into a business system, with a person reviewing what the system isn't sure about. AI document processing is the same idea; the terms are used interchangeably. We build it as a custom workflow around your systems rather than as a platform you learn.

Should we buy an IDP platform or build custom?

Price the platform first if you process one common document type at high volume. Custom makes sense when your document mix, validation rules, or destination systems are specific to you. The free assessment tells you which case you're in, and sometimes the answer is to use what you already own.

Do we need to standardise our documents first?

No. That's the point. The model reads the document as it arrives, whatever the layout. What we do need is a sample of the real thing, including the messy ones, so the rules and thresholds are tuned to what actually shows up.

What accuracy can we expect?

It depends on the documents, and we'd rather show you than quote a number. Clean, typed PDFs with consistent fields produce few exceptions. Scans, photos, and handwriting produce more. Either way, anything the system isn't confident about goes to a person, and every write is logged, so a wrong value never lands silently.

Is this just OCR?

OCR turns pixels into characters. This goes further: it finds the fields that matter, checks them against your own records and rules, routes exceptions to a person, and writes clean records into your system. OCR is one step in the pipeline, not the pipeline.

Where are our documents stored, and who can see them?

In storage you control, linked to the record in your system. We access only what the project needs, your documents are never used to train outside models, and every automated action is logged. If your documents contain personal or regulated information, we build so your own safeguards are easy to show.
