AI automation for Texas businesses
Right Flow AI works with Texas businesses that run on manual processes: job tickets retyped at the office, purchase orders keyed into the ERP, reports rebuilt every Monday, and systems kept in sync by hand. We find the work that costs the most hours, then automate it with AI where judgement is needed and plain rules where the answer must be exact.
We work with companies across the state, from Houston, Dallas–Fort Worth, Austin, and San Antonio to El Paso, Corpus Christi, the Rio Grande Valley, Lubbock, and West Texas. Every engagement starts the same way: one workflow, a free assessment, and a written plan with a price and timeline before anything gets built.

Industries
The manual work we see most in Texas
We don't sell industry software. We know these industries well enough to spot the same costly, repeat work across most businesses in them.
Examples, not client case studies
What this can look like
These are illustrative examples, not promises of results. Every project starts with your own workflow.
Job ticket to invoice for a Texas service company
Before
A technician finishes a job two hours from the office and fills out a paper ticket. It's turned in at the end of the day or the end of the week. Someone retypes parts, labor, and signatures into the system, and the invoice goes out days later.
After
The technician completes the ticket on a phone at the job. Parts used, labor, photos, and the customer's signature flow into the system. Anything that doesn't match the dispatched job is flagged. The invoice is ready to send the same day, after a quick review.
Purchase order intake for a Texas distributor
Before
POs arrive by EDI, email, and a customer portal in different formats. Someone standardizes each one and keys it into the ERP, checking prices against the list as they go. A wrong quantity is found when the shipment is already on the truck.
After
POs are pulled in from every channel, standardized, and checked against the price list and stock before posting to the ERP. Anything outside tolerance goes to a person with the problem highlighted instead of posting on its own.
Data handling
Data handling for Texas businesses
Texas Business and Commerce Code § 521.052 requires a business to implement and maintain reasonable procedures, including taking any appropriate corrective action, to protect sensitive personal information collected or maintained in the regular course of business from unlawful use or disclosure, and to destroy customer records containing sensitive personal information by shredding, erasing, or otherwise making the information unreadable. Separately, the Texas Data Privacy and Security Act (Chapter 541, in effect since July 1, 2024) applies to businesses that conduct business in Texas or serve Texas residents, process or sell personal data, and are not a small business as defined by the U.S. Small Business Administration. Small businesses are still barred from selling sensitive personal data without the consumer's prior consent under § 541.107.
Here is how we work inside rules like that. We only access the systems and data a project needs, and you control that access. Your business information is never used to train outside models or shared beyond your project. Every automated action is logged with what changed, when, and why. And nothing goes live until you have reviewed the designed workflow and signed off. We are not a law firm and this is not legal advice: your counsel decides what your safeguards need to be. Our job is to build so they are easy to show.

How an engagement works
Four phases, the same order every time
What changes is how much time each phase needs. Read the full methodology on the How It Works page.
- 01
Discover
We look at the workflow, the people, the systems, and where things go wrong.
- 02
Design
We plan the better process and decide what to automate, and what not to.
- 03
Implement
We build and connect the software, automation, or AI the new process needs.
- 04
Deploy & Improve
We test it on real work, roll it out safely, and keep making it better.
What we need from you
- Time with the people who do the work each day, not just the manager
- Real samples: real documents, real records, real messy cases
- One person who can sign off on how the new process should work
- Access to the systems the workflow touches, scoped to what the project needs
Scope and cost
What influences the price
We don't quote from a menu, because two workflows that sound the same can differ a lot in effort. These are the things that move the number. You get a written price and timeline after the free assessment.
- How many systems the workflow touches, and whether each has an API
- How many steps need a person's judgement versus a rule
- Volume: how many items a day, week, or month
- How messy the inputs are: clean forms versus free-text emails and scans
- How many approval steps and exception paths exist
- Whether the old process can run alongside the new one during rollout
FAQ
Working with Texas businesses: common questions
Do you have an office in Texas?
No. We don't have a local office. We work with Texas businesses over video and email, in your time zone, and every project follows the same written plan and sign-off process wherever the client is.
Which parts of Texas do you work with?
All of them. Houston, Dallas–Fort Worth, Austin, and San Antonio come up most, and the process is the same for El Paso, Corpus Christi, the Rio Grande Valley, Lubbock, and everywhere in between.
Do you only work with businesses in Texas?
No. We work with businesses across the United States. This page exists because Texas businesses ask us specific questions about field paperwork, distribution, and data handling.
Our technicians are spread across a huge area. Does that change anything?
It usually makes the case stronger. The further a job is from the office, the longer paper takes to get back and the longer invoicing waits. A digital ticket that flows straight into your system removes that lag. The assessment will tell you whether your current software can support it or whether a small tool is needed.
What happens to our data during the project?
We only access what the project needs, and you control that access. Your information is never used to train outside models. Every automated action is logged. If your workflow touches sensitive personal information, we build so your procedures under § 521.052 are easy to show, and your counsel decides what those procedures need to be.
