AI automation for Florida businesses
Right Flow AI works with Florida businesses that run on manual processes: maintenance requests logged by hand, job tickets retyped at the office, invoices matched line by line, and reports rebuilt every month. We find the work that costs the most hours, then automate it with AI where judgement is needed and plain rules where the answer must be exact.
We work with companies across the state, from Miami, Fort Lauderdale, and West Palm Beach to Orlando, Tampa and St. Petersburg, Jacksonville, Sarasota, Fort Myers, Naples, Tallahassee, and the Panhandle. Every engagement starts the same way: one workflow, a free assessment, and a written plan with a price and timeline before anything gets built.

Industries
The manual work we see most in Florida
We don't sell industry software. We know these industries well enough to spot the same costly, repeat work across most businesses in them.
Examples, not client case studies
What this can look like
These are illustrative examples, not promises of results. Every project starts with your own workflow.
Maintenance intake for a Florida property manager
Before
Requests come in by phone, text, email, and a resident portal. Someone logs each one into the work order system by hand, decides which vendor to call, and updates the resident when they remember to. After a storm the backlog takes weeks to clear.
After
Requests from every channel land in one queue, are categorized and matched to the unit automatically, and are routed to the right vendor by rule. Residents get status updates as the work order moves. A person handles the judgement calls and anything urgent.
Job ticket to invoice for a Florida service company
Before
A technician finishes a service call and fills out a paper or PDF ticket. It's turned in at the end of the day. Someone retypes parts, labor, and the signature into the system, and the invoice goes out days later.
After
The technician completes the ticket on a phone at the job. Parts used, labor, photos, and the customer's signature flow into the system. Anything that doesn't match the dispatched job is flagged. The invoice is ready to send the same day, after a quick review.
Data handling
Data handling for Florida businesses
The Florida Information Protection Act, section 501.171 of the Florida Statutes, applies to any covered entity, which includes a sole proprietorship, partnership, corporation, or other commercial entity that acquires, maintains, stores, or uses personal information. It requires each covered entity, and any third-party agent, to take reasonable measures to protect and secure data in electronic form containing personal information. A third-party agent that has a breach must notify the covered entity no later than 10 days after determining it, and individual notice must go out without unreasonable delay and no later than 30 days after a breach is determined.
Here is how we work inside rules like that. We only access the systems and data a project needs, and you control that access. Your business information is never used to train outside models or shared beyond your project. Every automated action is logged with what changed, when, and why. And nothing goes live until you have reviewed the designed workflow and signed off. We are not a law firm and this is not legal advice: your counsel decides what your safeguards need to be. Our job is to build so they are easy to show.

How an engagement works
Four phases, the same order every time
What changes is how much time each phase needs. Read the full methodology on the How It Works page.
- 01
Discover
We look at the workflow, the people, the systems, and where things go wrong.
- 02
Design
We plan the better process and decide what to automate, and what not to.
- 03
Implement
We build and connect the software, automation, or AI the new process needs.
- 04
Deploy & Improve
We test it on real work, roll it out safely, and keep making it better.
What we need from you
- Time with the people who do the work each day, not just the manager
- Real samples: real documents, real records, real messy cases
- One person who can sign off on how the new process should work
- Access to the systems the workflow touches, scoped to what the project needs
Scope and cost
What influences the price
We don't quote from a menu, because two workflows that sound the same can differ a lot in effort. These are the things that move the number. You get a written price and timeline after the free assessment.
- How many systems the workflow touches, and whether each has an API
- How many steps need a person's judgement versus a rule
- Volume: how many items a day, week, or month
- How messy the inputs are: clean forms versus free-text emails and scans
- How many approval steps and exception paths exist
- Whether the old process can run alongside the new one during rollout
FAQ
Working with Florida businesses: common questions
Do you have an office in Florida?
No. We don't have a local office. We work with Florida businesses over video and email, in your time zone, and every project follows the same written plan and sign-off process wherever the client is.
Which parts of Florida do you work with?
All of them. South Florida, Orlando, and Tampa Bay come up most, and the process is the same for Jacksonville, the Gulf Coast, Tallahassee, the Panhandle, and everywhere in between.
Do you only work with businesses in Florida?
No. We work with businesses across the United States. This page exists because Florida businesses ask us specific questions about property management, seasonal volume, and data handling.
Our volume spikes after storms. Can automation cope with that?
That is where it helps most. Intake and routing by rule don't slow down when volume triples. What changes is how much lands in the exception queue for a person, which is why we design that queue and the status updates first, not last.
What happens to our data during the project?
We only access what the project needs, and you control that access. Your information is never used to train outside models. Every automated action is logged. If your workflow touches personal information covered by section 501.171, we build so your reasonable measures are easy to show, and your counsel decides what those measures need to be.
