AI automation for New York businesses

Right Flow AI works with New York businesses that run on manual processes: documents retyped into systems, orders and invoices matched by hand, reports rebuilt every week, and software that doesn't talk to the other software. We find the work that costs the most hours, then automate it with AI where judgement is needed and plain rules where the answer must be exact.

We work with companies across the state, from New York City and Long Island to Westchester and the Hudson Valley, the Capital Region, Syracuse, Rochester, and Buffalo. Every engagement starts the same way: one workflow, a free assessment, and a written plan with a price and timeline before anything gets built.

Industries

The manual work we see most in New York

We don't sell industry software. We know these industries well enough to spot the same costly, repeat work across most businesses in them.

Examples, not client case studies

What this can look like

These are illustrative examples, not promises of results. Every project starts with your own workflow.

Owner statements for a New York property manager

Before

At month-end, someone pulls rent roll, expenses, and vendor invoices for each building from separate systems, reconciles them by hand, and formats a statement for every owner. It takes days, and a typo in one building's numbers means a call from an owner.

After

Rent roll, expenses, and invoices are pulled and reconciled per building on a schedule. Anything that doesn't tie out is flagged with the mismatch shown. A person reviews the finished statements and releases them.

Client intake at a New York professional services firm

Before

A new client fills out an intake form. Someone reviews it, creates the matter in the practice management system, and types the same details into billing and the CRM. Conflicts checks and engagement letters are built by hand from a template.

After

Intake data flows into the practice management system. The matter, billing codes, and CRM record are created from one source. The engagement letter is drafted from your template with the details filled in, and a person reviews it before it is sent.

Data handling

Data handling for New York businesses

New York's SHIELD Act, General Business Law § 899-bb, requires any person or business that owns or licenses computerized data including the private information of a New York resident to develop, implement, and maintain reasonable administrative, technical, and physical safeguards. It also defines a small business (fewer than 50 employees, under $3 million in gross annual revenue in each of the last three years, or under $5 million in year-end total assets) and requires its safeguards to be appropriate to its size, the nature of its activities, and the sensitivity of the information it holds.

Here is how we work inside rules like that. We only access the systems and data a project needs, and you control that access. Your business information is never used to train outside models or shared beyond your project. Every automated action is logged with what changed, when, and why. And nothing goes live until you have reviewed the designed workflow and signed off. We are not a law firm and this is not legal advice: your counsel decides what your safeguards need to be. Our job is to build so they are easy to show.

How an engagement works

Four phases, the same order every time

What changes is how much time each phase needs. Read the full methodology on the How It Works page.

  1. 01

    Discover

We look at the workflow, the people, the systems, and where things go wrong.

  2. 02

    Design

We plan the better process and decide what to automate, and what not to.

  3. 03

    Implement

We build and connect the software, automation, or AI the new process needs.

  4. 04

    Deploy & Improve

We test it on real work, roll it out safely, and keep making it better.

What we need from you

  • Time with the people who do the work each day, not just the manager
  • Real samples: real documents, real records, real messy cases
  • One person who can sign off on how the new process should work
  • Access to the systems the workflow touches, scoped to what the project needs

Scope and cost

What influences the price

We don't quote from a menu, because two workflows that sound the same can differ a lot in effort. These are the things that move the number. You get a written price and timeline after the free assessment.

  • How many systems the workflow touches, and whether each has an API
  • How many steps need a person's judgement versus a rule
  • Volume: how many items a day, week, or month
  • How messy the inputs are: clean forms versus free-text emails and scans
  • How many approval steps and exception paths exist
  • Whether the old process can run alongside the new one during rollout

FAQ

Working with New York businesses: common questions

Do you have an office in New York?

No. We don't have a local office. We work with New York businesses over video and email, in your time zone, and every project follows the same written plan and sign-off process wherever the client is.

Which parts of New York do you work with?

All of them. Most of the businesses we hear from are in New York City, Long Island, Westchester, and the Hudson Valley, but the process is the same for the Capital Region, Syracuse, Rochester, Buffalo, and everywhere in between.

Do you only work with businesses in New York?

No. We work with businesses across the United States. This page exists because New York businesses ask us specific questions about data handling and the industries above.

How does an engagement start?

With a free AI assessment. You tell us about one repetitive, costly workflow. We review it, tell you honestly whether it is worth automating, and send a written summary with a price and timeline. No cost, no obligation.

What happens to our data during the project?

We only access what the project needs, and you control that access. Your information is never used to train outside models. Every automated action is logged. If your workflow touches private information covered by the SHIELD Act, we build so your safeguards are easy to show, and your counsel decides what those safeguards need to be.
