Accounting workflow

AI Document Processing for Accounting Firms

Clients send statements, bills, receipts, and forms in every format, to whichever staff member they know. We build the intake that recognizes each one, extracts the figures, checks them against your own data, and files them under your rules, so your team reviews data instead of typing it. This is accounting document automation as one part of our wider work on AI for accounting firms.

Examples, not client case studies

What this can look like

These are illustrative examples, not promises of results. Every project starts with your own workflow.

AI Document Processing for Accounting Firms

Before

A client emails a phone photo of a stack of receipts and a PDF bank statement. A staff member downloads them, renames them, files them, and keys the transactions into the bookkeeping software before reconciliation can start.

After

Files arrive through a portal or monitored inbox, are recognized by type, matched to the client and period, and filed under your naming rules. Transactions are extracted with confidence scores and checked against the bank feed. Anything that doesn't match, or reads poorly, goes to the bookkeeper with the source shown.

Vendor bills for client accounts payable

Before

Vendor bills arrive by email for several clients. Someone opens each one, works out which client and vendor it belongs to, codes it, and enters it for approval.

After

Bills are read on arrival, matched to the client and vendor, and coded from your rules. Approvers see the extracted fields next to the original, and only unusual items or new vendors need a human eye before entry.

Approach

How it works

  1. 01

    Sample your documents

We collect real examples, including the messy ones, and list which document types and fields matter for your firm.

  2. 02

    Design checks

For each field, we decide what it is checked against (bank feed, prior year, checklist) and what confidence is good enough.

  3. 03

    Build and connect

Recognition, extraction, validation, and filing, connected to your bookkeeping software and document management.

  4. 04

    Run with review

Exceptions go to a person with the source shown, every action is logged, and we tune it on your real volume.

What we need from you

  • Real sample documents, including poor scans and phone photos
  • Your filing and naming conventions
  • Access to the bookkeeping and document management systems involved
  • One person who signs off on the checks

Extraction

What gets extracted, and how it's checked

Bank and card statements

Dates, descriptions, and amounts extracted and reconciled against the bank feed, so a misread line shows up as a mismatch.

Vendor bills and receipts

Vendor, date, total, tax, and line items extracted, matched to the vendor record, and coded against your rules.

Payroll reports and tax forms

Key figures and form boxes extracted and compared to prior periods, so a change worth looking at is flagged.

Engagement and identity documents

Recognized, confirmed as the requested document, and filed against the right client, with missing pages flagged.

Beyond OCR

How this differs from basic capture tools

Basic OCR and receipt-capture tools turn an image into text. Accounting firms also need to know what the document is, which client and period it belongs to, whether the figures are believable, and where it should go next. That is the difference between automated financial document extraction and a text dump someone still has to interpret.

Where a capture tool inside your existing software already does the job, we'll say so. Custom work earns its place when the documents, rules, or systems are specific to your firm.

Human review

Where a person stays in the loop

  • Fields below the confidence threshold, with the source shown next to the extraction
  • Anything that fails a check against the bank feed or prior period
  • New vendors, unusual amounts, and unrecognized document types
  • Coding decisions you tell us must be reviewed

Where this shows up

Signs this is your problem

  • Staff rename, file, and re-key documents before real work starts
  • Reconciliation waits on a pile of PDFs and photos
  • Documents get misfiled, or nobody can find the one the client says they sent
  • Month-end is late because information arrived late and in the wrong format

Scope and cost

What influences the price

Two workflows that sound the same can differ a lot in effort, so we don't quote from a menu. These are the things that move the number. You get a written price and timeline after the free assessment.

  • How many document types you receive and how consistent they are
  • How many fields need to be extracted and validated per document
  • Which systems the data has to reach, and how they connect
  • Monthly volume, and how much is poor-quality scans or phone photos

FAQ

AI Document Processing for Accounting Firms: common questions

Can AI extract data from bank statements and receipts accurately?

It reads most clean documents well and struggles with poor scans, so accuracy is managed rather than assumed: every field has a confidence score, extracted transactions are checked against the bank feed, and anything doubtful goes to a person. We test on your real documents before go-live.

Does this replace our bookkeeping software?

No. It feeds it. Your bookkeeping software stays the system of record; the workflow removes the retyping around it.

What if a client sends something unreadable?

It is flagged with the issue shown, and a request to resend can be drafted for your review. It is never marked complete or guessed.

How is this different from the receipt capture in our accounting software?

Built-in capture is often enough for one product and one document type. Custom document processing is for firms whose documents span types and clients, whose checks are specific, or whose data has to reach more than one system.

Is client data used to train AI models?

No. Client information stays in your systems, is never used to train outside models, and every action is logged. Your confidentiality obligations set the rules and we build so they are easy to show.
